Urgent: Personal Assistant (English-French-Russian) for international company!
Company description:
Our client is an international and well-established law firm with offices in Europe, the America’s and Asia.
For their Brussels office (centrally located) they are currently recruiting a Trilingual Personal Assistant.
Your tasks and responsibilities will include:
– Agenda management
– Organising meetings (booking rooms, confirming dates and locations, distributing agendas, preparing material, …)
– Making travel arrangements (arranging train and flight tickets, hotel bookings, taxi reservations, car rentals, Visas,…)
– Typing and amending legal documents, handling layouts, etc.
– Checking and processing timesheets, preparing invoices, liaising with Accounts Department
– Preparing submissions
– Copying and proofreading documents
– Preparing PowerPoint presentations
– Archiving documents (on paper + electronically), following up on files
– Assisting with client queries in a professional and timely manner
– Updating Partners’ contact lists
– Assisting with business development activities, e.g. the organisation of client lunches, etc.
– Handling incoming and outgoing emails, telephone calls, correspondence, etc.
– Ensuring a smooth running of the office (e.g. assisting with a quick resolution of IT issues, ordering office supplies, etc.)
Required profile:
– Fluent in English (oral and written) with a very good working knowledge of French. Russian is a big asset!
– Computer literate: MS Office (Word, Excel, PowerPoint, Outlook)
– Formal administrative/secretarial qualification can be an asset
– A minimum of 5 years of working experience as a Management/Personal Assistant, previous experience in a legal environment can be a strong asset
– Punctual and organised person who works with a lot of eye for detail
– Good interpersonal skills
– Ability to work with tight deadlines and good resistance to stress
– Reliable and mature
– Self-starter with a proactive and service-oriented attitude
Offer:
– A temporary contract of 4 months followed by a permanent contract
– Very nice and professional offices centrally located in Brussels (easily reachable by public transport)
