Insurope’s Head Quarter is located in Belgium (Brussels) with regional Head offices in USA and Singapore. Insurope SCRL/CVBA is currently looking for an administrative assistant.

Purpose of Position

The administrative assistant will be the first point of contact for callers and visitors and will be responsible for the meeting rooms—taking telephone calls, welcoming visitors, and booking meeting venues. The successful candidate will also provide general support to the day-to-day running of the office in Brussels and the organization of various meetings and events. The overall objective of the position is to create an effective working environment for all staff. He/she will report to the Group Finance Controller.

Essential Duties & Responsibilities

  • Handle incoming calls and coordinate messages as needed;
  • Provide assistance and support to the finance controller in:
  • Day-to-day office management: liaise with suppliers, organize incoming mail and postal services, maintain office/food supplies and other requirements to keep the office running smoothly including office equipment and office space;
  • Administrative and financial work: tracking staff expenses and events budget; filing purchase invoices, prepare payments, booking invoices;
  • Provide administrative support to other staff members in booking travel, filing, updating contacts;
  • Provide logistical and administrative support in the organization of internal and external meetings and events;
  • Provide ad-hoc logistical support to international colleagues for organizing meetings in Brussels (Amexco, hotel, and transport reservations);
  • Liaise for Human Resources: Track illness, Vacation days, Lunch vouchers;
  • Update of database and ensure coherent use of system;
  • Perform other related duties as required.

Education / Experience

  • One to three years of relevant experience in the administrative support;
  • Experience as a receptionist;
  • Experience in dealing with accounting department is an asset.

Skills Required

  • Fluency in English and French and Dutch – other languages is an asset;
  • Excellent communication and organizational skills;
  • Good computer skills (MS Office, experience with databases, etc.);
  • Comfortable in multi-tasking, detail-oriented, and working to deadlines;
  • Flexible and adaptable approach to work.
