Job Description

My client is an international firm based in 25 different countries. They are specialized in providing services to international and national firms. Their prestigious organization in Brussels counts 10 different nationalities.
They are currently looking for a management assistant to join their team. MISSION: As a management assistant, you will provide administrative and organizational support for a team of 3 people.

This position includes:

  • -You will manage the agendas for members of the department. It means organizing travels, dinners, conferences at the international and national level.
  • -You will be responsible for typing, editing and formatting of documents to assist your team up. -You will also be in charge for writing, checking, correcting and proofreading texts in English.
  • -You will be responsible for the correspondence of members of the department
  • -You will create Powerpoint presentations. These should be both professional and creative. -You will be responsible for monitoring the ongoing files, in other words, tracking professional contacts and making the archiving of various files. -You will be the contact person for all incoming and outgoing calls and you will forward messages to the people involved.
  • -You must ensure that meeting rooms are prepared to accommodate clients.
  • -You will be responsible for the follow up of budget’s files.
  • – You should check the various expenses but also manage the deadlines imposed by the environment.
  • -You will prepare new Client/Matter paperwork and client engagement letters
  • -You will prepare Client Bills with billing specialists under the direction of the manager.

The team is young, dynamic and friendly to work with. They need someone who can take initiatives and responsibilities when it’s needed.

Job Requirements

  • You are in possession of a bachelor degree (secretarial, languages,…)
  • You are fluent in English and French (Russian is a plus)
  • You have good MS office skills especially Outlook, Word, Excel and Power Point.
  • You are proactive, independent and organized.
  • You like to be challenged
  • You are open and communicative. This is really important for this job.
